Choose the right process first

Good candidates repeat frequently, use reasonably consistent inputs and have a clear outcome. Examples include lead routing, booking follow-up, onboarding tasks, renewal reminders and routine reporting.

Start with the cost of the current process: time spent, delay introduced, missed follow-up or error risk. Do not automate a task just because a tool offers a connector.

Example: from inquiry to a prepared client handoff

  1. A form creates or updates the correct CRM contact without duplicating records.
  2. Business rules assign an owner and create the next action.
  3. The client receives the appropriate confirmation; internal staff receive the information they need.
  4. An accepted engagement creates the delivery project and onboarding checklist.
  5. Missing information or a failed integration appears in an exception queue with an owner.

The workflow and messaging are scoped to the business. Marketing consent, operational confirmations and staff alerts should remain separate.

Design for the day something fails

Every automation needs a clear source of truth, duplicate protection, logging and a recovery path. We consider retries, changed email addresses, cancelled bookings, incomplete records and a provider that stops responding.

Before release, test successful cases and expected failures. During handover, identify who receives alerts, how a run is investigated and when a manual intervention is appropriate.

Connect operations, marketing and reporting

Automation is most useful when it closes a handoff between teams. That can mean turning sales promises into delivery tasks, feeding campaign sources into the CRM, or producing an operational report from the records people already maintain.

When inputs require interpretation rather than fixed rules, an AI-assisted workflow may be appropriate, with human review for consequential decisions.

Questions before you start

Do we have to replace our CRM?

Not necessarily. We assess the current platform, available integrations and data quality first. A replacement should solve a specific constraint that cannot reasonably be addressed in the existing setup.

How do we know whether an automation worked?

Define a success event, an exception event and an owner before building. Track completed outcomes and missed work, not just the number of automation runs.
